Sales Tax Policy

Straightforward tax. No surprises at checkout.

Every order, every machine, every invoice — sales tax is calculated automatically based on where the machine is located, itemized clearly, and never bundled into a hidden markup.

Our Sales Tax Policy

Vending Machine World LLC collects and remits sales tax in accordance with applicable state and local law everywhere we operate. Tax is calculated automatically at the time of purchase based on the location of the machine, and it's always shown as its own line item — never folded into product pricing or service fees.

Rates vary by state, county, and city, and this policy is updated as those laws change.

§ 01
HOW SALES TAX IS CALCULATED

Calculated automatically, at the time of purchase

Tax isn't an afterthought added later — it's calculated the moment a purchase happens, based on where the machine actually sits.

  • Tax applied based on the state, county, and city where the machine is installed
  • Calculated on the listed price of vending products per applicable local law
  • For cashless and mobile-pay purchases, the tax amount is shown before the transaction completes
§ 02
EQUIPMENT PURCHASES & LEASE AGREEMENTS

Machine purchases are treated separately from product sales

Buying or leasing equipment is a different transaction than buying a snack — and tax treatment can differ depending on the structure.

  • Equipment purchases, leases, and service-only placements may be taxed differently depending on the state
  • Any applicable equipment tax is disclosed in the proposal and contract before signing
  • No equipment tax is ever added to an invoice after the agreement is signed
§ 03
TAX-EXEMPT ORGANIZATIONS

Exemption certificates, reviewed quickly

Schools, nonprofits, government accounts, and qualifying resellers may be eligible for tax-exempt purchases with the right paperwork on file.

  • A valid, current exemption certificate for the applicable state must be submitted and approved
  • Certificates are typically reviewed within 5 business days of submission
  • Tax-exempt status applies going forward once approved — call us to start the process
§ 04
MULTI-STATE & LOCAL COMPLIANCE

No flat, one-size-fits-all tax rate

Tax law isn't the same from one city to the next, so we don't treat it that way either.

  • Sales tax collected and remitted in accordance with the laws of each state and locality we operate in
  • Rates vary by jurisdiction and are updated as state and local laws change
  • Two machines in different cities may show different tax amounts — and that's expected, not an error
§ 05
INVOICING & RECEIPT TRANSPARENCY

Tax is always its own line — never bundled in

If a number on an invoice isn't clear, that's a problem. We keep tax separated so there's nothing to untangle.

  • Every printed and digital receipt separates subtotal, tax, and total
  • Sales tax is never folded into product pricing or service fees
  • Clients can request a full tax breakdown on any invoice, anytime
§ 06
POLICY UPDATES & RATE CHANGES

You never have to track rate changes yourself

Tax law changes more often than most people realize — keeping up with it is on us, not you.

  • This policy is reviewed on an ongoing basis to reflect changes in state and local tax law
  • Updated rates are applied automatically at the point of sale
  • Clients and customers are never responsible for tracking or requesting rate updates themselves

Common Questions

Sales Tax FAQ

Is sales tax included in your quoted equipment prices?

Generally, no — any applicable equipment tax is broken out and disclosed separately in your proposal and contract, so you see it before signing rather than discovering it on an invoice later.

Do you charge sales tax on the snacks and drinks sold through the machines?

Where required by state or local law, yes. It's calculated automatically based on the machine's location and itemized as its own line on the receipt.

My organization is tax-exempt. How do I submit an exemption certificate?

Call (323) 696-7549 and we'll walk you through what's needed. Once a valid, current exemption certificate for your state is submitted, it's typically reviewed within 5 business days.

Do tax rates differ depending on where the machine is located?

Yes. Rates are set by the state, county, and city where each machine operates, so two locations can legitimately show different tax amounts on otherwise identical orders.

Who do I contact with a question about tax on my invoice?

Call (323) 696-7549 and ask for billing. We can walk through any invoice line by line, including the tax calculation.

Have a question about tax on your invoice?

Whether it's a rate question, an exemption certificate, or just a number that doesn't look right — call us and we'll walk through it together.
